Document Control Specialist

Position Summary:

  • This position will serve the administrative needs of two departments – Lab Operations/Logistics (50%) and Project Management (50%). Contributes to the smooth daily operations of the department(s) by coordinating activities and documents and monitoring items for follow-up related to the departmental objectives.
  • Internal relationships include interactions with all departments within Central Lab.

Qualifications:

  • Diploma in Business Admin _Sciences or Health related discipline, or relevant laboratory experience.
  • Min 3 years of experience in document control or records management.

Skills and Knowledge Requirements:

  • Excellent (Advanced) computer skills with intuitive understanding of MS Office programs/applications and their uses (capabilities).
  • Strong organizational and filing skills (Administrative Assistant skills).
  • Attention to detail.
  • Initiative for process improvement and quality control.
  • Well developed interpersonal skills to interact with all levels of the organization.
  • Strong communication skills to exchange and clarify information.
  • Strong team players and quick learner.
  • Excellent written and oral communication skills.
  • Strong service orientation related to internal staff and external customers.

Key Responsibilities:

  • Control and manage the distribution and filing of SOPs.
  • Control and management of method validations (filing) – Typing up of Method SOPs.
  • Assist/coordinate in the preparation, updating of documentation and SOPs and follow-up of SOP review.
  • Assist in administrative tasks of Laboratory Logistics projects, such as reconciliation efforts, tracking of historical documents and etc.
  • Manage and control filing systems for the Laboratory Logistics department, as requested.
  • Assist manager(s) in daily tasks, as requested.
  • Custodian of all Project documentation both hard copies and computer copies i.e. CD ROMS, and databases.
  • Control and management of Quality Assurance files (audits, training).
  • Custodian of all critical documents, systematic filing, retrieval, copy and controlled distribution of documents and forms.
